Job Description

DEA is currently seeking a Project Coordinator / Team Leader to work in our Inland Northwest market, assisting project managers with delivering transportation projects. These responsibilities include, but are not limited to, project financial management, such as cost forecasting and reporting, budget management and control; contract administration; change management; project scheduling; participation in the development and implementation of document control, communication, and information distribution protocols; and when interacting with clients, demonstrating DEA's core ideology and commitments. This position is ideally located in our Spokane, WA, Coeur 'd Alene, ID or Boise, ID office.

Responsibilities include but are not limited to:

  • Demonstrate a high level of customer service when working with internal staff, external subconsultants and team partners;
  • Ability to compile and analyze data, manage budget/accounting documentation;
  • Coordinate with project manager, internal team, and subconsultants to edit and develop scope and fee; reconciling comments with internal reviewers and client; managing adherence to scope, fee and change management; directing and reviewing setup and change order forms;
  • Coordinate with project manager and project team to review weekly project charges, track burn rate vs. budget, communicate team direction related to budget; monitoring and advising PM of overall project status, including Disadvantage Business Enterprise project goal progress;
  • Plan, organize and monitor project development to ensure that deliverables are produced efficiently, on time, within budget and to specified standards;
  • Coordinate the production and distribution of deliverables to the client;
  • Maintain effective working relationships with the project manager and internal team for steady flow of work and communication, project schedule, and project milestones;
  • Assist DEA's Quality Manager in the development of QA/QC plans, managing adherence to and associated documentation;
  • Preparing or overseeing development of subconsultant agreements and task orders;
  • Track on-call contracts and task orders;
  • Assist in the development and implementation of records management, communication and information distribution processes
  • Prepare or oversee development and review of project invoices and progress reports, including subconsultant invoices;
  • Oversee formatting and perform quality reviews of large and small documents such as reports, letters, memos, etc.;
  • Coordinating and scheduling project meetings, and preparing meeting agendas and meeting summaries;
  • Tracking and following up with meeting action items and deliverable deadlines;
  • Manage and mentor staff, build and maintain relationships.

Basic Qualifications:

  • 5+ years working in project coordination on mid-large construction or transportation projects.
  • Advanced skills in Outlook, Word, Project, and Excel.
  • Proactive communicator with excellent written and verbal communication skills.
  • Experience multi-tasking and prioritizing competing deadlines.
  • Capable of managing team and mentoring junior level staff members.

Preferred Qualifications:

  • Project controls experience on transportation projects.
  • Demonstrated experience coordinating with internal project teams and subconsultants.
  • Experience managing scope, schedule and budget for project manager to budget and track projects.
  • Experience in an architecture, engineering, or construction firm.

  • Potential salary range is $70,000-$90,000 depending on location and experience
